Ebsta is a Google Chrome extension that is primarily used to synchronize Gmail accounts with Salesforce accounts. It is only compatible with BullHorn and Google Chrome. Ebsta automatically searches Salesforce based on the email you are viewing and tells you of any matched records. Additionally, it allows you to examine the Salesforce record inside of Gmail or add the email to Salesforce with just one click. Ebsta is available to every company that utilizes Salesforce for free for a maximum of three users.

When using Ebsta, you can create an Account, Contact, Lead, or Opportunity without having to authenticate into your Salesforce accounts. Additionally, you may edit and update information, manage tasks, syn your Google and Salesforce calendars, and use Chatter.

How to Install Ebsta

Step 1: Select the Get It Now option on the AppExchange.

Step 2: After agreeing to the terms, click the Install from Provider’s Site button. You can visit their official website by clicking this button.

Step 3: Click the link for the free Ebsta installation. Your Google Chrome browser’s confirmation window for adding the extension appears.

Step 4: Press the Add button to finalize the installation.

Step 5: The Ebsta extension icon will appear in the right-top corner of your Google Chrome browser once the installation is complete.

Step 6: After selecting the icon, you will be prompted to enter your Salesforce username and password. Once you have done so, a new page will open.

Step 7: Since we are syncing Salesforce with Gmail, select Gmail from the page that was forwarded.

Step 8: You must now enter your email address and password.

Now you may start utilizing the Ebsta app. You can see the Ebsta bar by opening any one of the emails in your inbox. Here, you can access the Salesforce information associated with the particular user’s email address.

Since only the Account and Contact fields are connected to Test User, the red area represents the user’s contact information. The account with which the user is connected is shown in the yellow region.

You can click the Ebsta icon in the browser’s upper left corner to examine all other data.

You can see every relevant record connected to the user in the graphic up top. You can also add a new Account, Contact, Opportunity, or Lead entry to the database by clicking the Add button in the lower-left corner of the Ebsta page It is also possible to customize the fields that the user must complete while creating a record.

Customizing the Fields

Step 1: Click the “Access to Control Panel” button and the Settings icon on Ebsta’s bottom right page.

Step 2: After being directed to a new page, select the CRM Integration option on the left side of the screen.

Step 3: Now, you’ll be redirected to a page where you can customize a field.

On the aforementioned screen, you must select the object whose field values you intend to modify. There are two distinct collections of fields.

  1. Current fields.
  2. Available Fields.

The fields shown in the current field section are the ones that are currently visible. Simply drag and drop fields from the available fields to the existing fields to create the field values that will be input throughout the record generation process.

Click the Save Changes button to save the changes.

Under the User / Licences button on the left, you can see the number of available licenses as well as the number of licenses that are presently in use.

Now, you have the option to upgrade your licenses in the subscription area. If you want to use more than three licenses, you must use the premium application.

Calendar Synchronization

As mentioned above, the Salesforce calendar can also be synced with Google Calendar.

Once every hour, Ebsta will sync any Events you add to your Salesforce Calendar from your Google Calendar.

Although, we must make sure that both use the same time zone before synchronizing the Salesforce calendar with the Google calendar.

You have the option of having Ebsta sync events both ways, from your Google calendar to your Salesforce calendar, or the other way around.

Step 1: Click the “Access to Control Panel” button and the Settings icon on Ebsta’s bottom right page.

Step 2: At this point, click “Start Calendar Sync”.

Step 3: In the screenshot below, you can see two checkboxes that choose whether to sync Google to Salesforce, Salesforce to Google, or both.

To sync Salesforce with Google, deselect the Google to Salesforce checkbox.

Deselect the checkbox next to “Link Salesforce to Google” to connect Google and Salesforce.

Click the Save button to accept the changes.

The disadvantage of the synchronization is that Ebsta will keep hourly syncing your Salesforce and Gmail calendars.

We may also use the account, contact, opportunity, and lead record names to perform searches in Ebsta.

Chatter Collaboration Using Ebsta

We can communicate over chat using this app(Ebsta).

When you click the Add Link button in Ebsta, the current page’s URL is automatically added. You can either read the comments you follow or leave your own.

All of the activities can be added to an account, contact, lead, or opportunity.

You can create a Task for the Account, Contact, or Lead record that you are now reading by choosing the Task button. You can also create a new opportunity, add a contact or lead to an ongoing campaign, and arrange an event for the relevant account.

The email may be received by the corresponding Salesforce record or another Salesforce object.

There are two distinct buttons in the email you are currently viewing:

  1. Lightning – Add email to Salesforce.
  2. Add email to Salesforce.

When you click the “Lightning add email to Salesforce” button, the email is sent to the contact whose email you are currently viewing.

Using the “Add email to Salesforce” feature, you can add an email to Salesforce’s other objects, including accounts and other items.

By clicking button #1 (Lightning add email to Salesforce), you will see a success message stating that your email has been added to the relevant Contact and the button’s color will change.

When button #2, “Add email to Salesforce,” is clicked, a choice is presented regarding whether to add the email to the selected contact or another Salesforce object. Click the Add button after selecting the item.

When we respond to an email from a specific person, we can also add that email to Salesforce. There may be a “Send + add to Salesforce” button next to the send button. When you click it, your email is delivered to the user and added to the Salesforce item.

The object to which the email should be appended might either be the contact or another Salesforce object. The “Send + Add to Salesforce” button will prompt you to choose an object.

Ebsta is quick, trustworthy, and simple to set up. The ability to automatically aggregate emails to contacts in Salesforce and the bidirectional synchronization are both quite useful. We can easily update the data and rapidly search for Account, Contact, Lead, and Opportunity records. Ebsta is essential in assisting sales agents, allowing them to work exclusively in Gmail rather than switching between it and Salesforce.
